• The colleague must notify their manager of their absence on the first day, ideally by direct communication rather than leaving a message.  This should be done as close to their normal starting time as possible and certainly no later than 10 a.m. or 2 hours before the start of their shift.  If the colleague is too unwell to be able to make the call themselves they must ensure someone is able to contact their manager on their behalf. The manager should be given some indication of the nature of the illness and when the colleague expects to be able to return to work.
  • If the illness continues beyond the period initially identified, the colleague must notify their manager as soon as they are aware. 
  • If the illness/absence has a work related component it must be reported to HR immediately.
  • Doctors certificate will be required in line with the leaves policy – you can see this on HR for me under policies 
  • Prior to returning to work the colleague should contact their manager, indicate their intention to return to work and when and arrange for a return to work interview to be undertaken.   
  • The manager should agree a scheduled contact plan with the colleague to enquire about their welfare and to keep them informed of work-related issues as necessary.  
  • If the absence is longer than 4 weeks the colleague / manager should also contact HR to inform them of their sickness. 
  • The manager and /or colleague should ensure the absence is recorded in Workday.  The manager or colleague must record the cause of absence in Workday and send the ‘doctors note to HR for retention. 
  • The reason for absence and the confirmed dates should be entered in Workday by the manager.  
  • To record absence in workday, please go to the colleagues name, Actions, Time and Leave, enter time off, Click on the dates of the absence, click Request time off, in the Type box pick from the drop down Sickness absence, enter the daily quantity and in the comments box add in the reason for the absence.
  • Contact your manager and agree on a return to work plan.  If your absence has been longer than 4 weeks, please also contact HR and OH so a return to work plan can be agreed as needed.
